As a consultancy marketing business for small-business owners, part of our business is to help small-business owners set up their VoIP and local phone numbers. We used to have RingCentral, and we advised our clients to use it. RingCentral gives you a local phone number regardless of whether you are in the building or not—or even in the city. You will always have a local phone number that you can redirect to any cell phone, depending on who’s working in the company. RingCentral offers good customer service and has great flexibility, but it’s a bit expensive.
Few things in life are set in stone, and the same should be true of your VoIP plan. It’s wise to find a plan that is scalable and which you can easily expand if need be. You’ll want to know if you can break your contract early if you find a better deal elsewhere, or if you can easily switch plans with the same company in order to take advantage of more features, or to get rid of some you don’t need.
Work When & Where You Want – One very popular and common feature of business VoIP systems is called “find me/follow me.” Instead of having separate numbers for your office, cell phone, and home office, you have one “virtual extension.” You can program the virtual business phone service to ring all of your extensions simultaneously, or in a specific order, and you decide how to handle a missed call. You decide if a call should go to your voicemail, or to another extension. When you make a call using your cloud phone system, the receiving caller ID will show your business phone number, regardless of which device you are calling from.
Businesses working remotely should keep in mind, though, that Ooma doesn’t offer any videoconferencing tools. Instead, you get a conference line that lets at-home employees collaborate over the phone. That puts Ooma a pace behind some of the other providers on our list, but with providers like Nextiva currently offering their video collaboration tool to businesses for free, it shouldn’t be a major issue.
A key attraction of VoIP is that it gives these systems the flexibility to work in a wide variety of environments ranging from analog desk phones to softphones piggy-backing on a cell phone. These systems can often also integrate all or part of their softphone clients into other back-office applications, like your customer relationship management (CRM) or help desk platforms. Simply picture the standard interface of such an app that suddenly sports a dial pad and some function buttons as a pop-up screen and you'll have a very basic idea of how some of this works. In addition, these cloud based systems can have a variety of phone numbers in global locations, so that your customers can have free access to your phone at little or no charge.
Vonage is probably one of the most well-known PBX providers on the market—and for good reason. Vonage phone service is easily scalable, so it can keep up with your business as it grows while maintaining affordable pricing. Vonage also offers integrations with everything from Salesforce to Slack. So if your business outgrows your current customer relationship management tools, you can switch without having to worry about whether your VoIP communications service offers integration with your new CRM.
The service's we detail below, however, aren't triple play providers. Every service detailed here is an independent residential VoIP provider that you can use over any broadband internet connection. But while that means their pricing is probably somewhat more transparent than in a triple play scenario, some of them do still obscure the real number you'll wind up paying. This can happen in several ways.
The caveat there is the proverbial fine print, usually located just below the really attractive dollar figure. This small print generally details exactly how many months that nice number will remain in effect before the bloom comes off the rose and you start getting billed a much higher number that represents the service's actual cost. Many providers don't even print this higher number on their websites, so be sure to ask the sales guy on the phone before you sign up. The nice number that pulled you in can often double or more once the introductory period wears off. Some providers even attach a minimum length of time that you'll need to suffer these higher costs before you can change or modify the service without getting hit with an additional early-termination penalty fee.
Connectivity –VoIP is all about improved connectivity. That’s also a key factor when choosing a VoIP phone for your workplace. Phones which offer Wi-Fi connectivity are really handy – especially if you’re looking at cordless phones. They don’t require you to connect them up to your router via Ethernet. Models with built-in Bluetooth are great, too. They let your staff use hands-free headsets instead of handsets, giving them all the benefits of a mobile device.
It is much cheaper than a regular landline - most providers offer unlimited calling plans (including long distance) in the USA and Canada for under $10 per month. There are also some great promotional deals available such as 2 year specials that cost around $6 per month (includes all your calling). Comparing this to a regular PSTN (landline) phone service that can cost in the region of $60 per month can result in savings of over $500 per year for many home phone users. If you also regularly call International numbers you can save even more, with rates typically starting from around 1 to 2 cents per minute to many countries.
